Accounts Payable Specialist

INTRODUCTION and WHAT YOU WILL DO (Job Responsibilities) Process a large volume of transactions (invoices and credits) received via mail or e-mail Maintain accounts payable shared mailbox (responding and filing in a timely manner) Process cash disbursements (payments) on a regular basis to meet payment terms Update key metrics and meet key metrics goals, as established for the position Ensure Procedure to Pay processes are followed Invoices are properly authorized with a Purchase Order or Approved Expense flow Approval signatures are as prescribed in the Delegation of Authority (DOA), when PO is absent Verify GL coding is correct Maintain accurate cash disbursement types (check, credit card, wire, ACH) by vendor Ensure available discounts are taken Maintain AP check positive pay bank exceptions Maintain self-assessed sales and use tax invoices for TN and provide to GL team Maintain Open Receipts Not Vouchered to less than 90 days Review and approve expenses in travel system Accountable for overall health of the supplier relationship as it pertains to payment and reconciling statements of account Work with Accounting Manager – Functional Operations to ensure cash management and forecasting requirements are met Provide expense invoices to Accounting team for month-end accruals Run and save month-end AP Aging, Open Receipts, and other reports for compliance purposes Participate in system updates and improvements Miscellaneous duties as assigned WHO YOU ARE (Qualifications) Associate degree or equivalent combination of education and experience preferred. Minimum of 5 years accounts payable experience Demonstrated high attention to detail and accuracy. Proficient keyboarding / typing skills, Microsoft Outlook, Microsoft Office (especially Excel) Adaptability to learning new tasks.
